2. Information we collect
Depending on how you interact with us, we may collect:
- your email address;
- your telephone number, if you choose to provide it for a webinar reminder;
- information about your webinar registration;
- your newsletter preferences and records of consent;
- information you provide when contacting us;
- technical information such as your IP address, browser and device information;
- information about how you interact with our website and advertising, where you have consented to relevant cookies or tracking technologies;
- campaign and referral information, such as UTM parameters.
You are not required to provide an optional telephone number or agree to receive marketing in order to register for a webinar.
3. How we use your information
Webinar registration and administration
When you register for a webinar, we use the information you provide to:
- register your place;
- confirm your registration;
- send your webinar access information;
- send information and reminders relating to the webinar;
- administer and manage the webinar and related communications.
These communications relate to the webinar you requested and are separate from our general marketing communications.
We process this information where necessary to provide the webinar you have requested and on the basis of our legitimate interests in organising and administering our events and communicating with registered participants.
Text reminders
If you voluntarily provide your telephone number for a webinar text reminder, we use it for that purpose.
Providing your telephone number is optional. We will not use a telephone number provided solely for a webinar reminder to send unrelated marketing messages unless you have separately agreed to receive them.
Newsletter and marketing communications
If you separately choose to subscribe to our newsletter, we may use your email address to send you news, style insights, updates, information about our services, offers and future events.
We send these marketing communications on the basis of your consent.
Registering for a webinar does not automatically subscribe you to our newsletter.
You can withdraw your consent at any time by clicking the unsubscribe link in our marketing emails or by contacting us at oriona@me.com.
Withdrawing your consent does not affect the lawfulness of processing carried out before your consent was withdrawn.
4. Cookies and Meta Pixel
Our websites and landing pages may use cookies and similar technologies.
On our webinar landing page, we use the Meta Pixel to help us measure the effectiveness of our advertising and understand actions such as visits to the page and completed webinar registrations.
The Meta Pixel is activated only after you give your consent through our cookie notice.
If you do not consent, the Meta Pixel will not be activated and your choice will not affect your ability to register for the webinar.
You can change your choice using the Cookie settings option available on the webinar landing page.
Where consent is required for cookies or similar tracking technologies, we rely on your consent.
5. Service providers and sharing of information
We use trusted third-party service providers to operate our websites, webinar registrations and communications. These currently include:
- Beehiiv – email subscriber management, webinar registration data and email communications.
- Cloudflare – hosting and delivery of our webinar landing page and related technical infrastructure.
- Meta Platforms – advertising measurement and related services through Meta Pixel where you have consented to its use.
- Squarespace – hosting and functionality of our main website.
These providers may process personal information on our behalf or, in some circumstances, act as independent data controllers in accordance with their own privacy terms.
We may also share personal information with professional advisers, technical providers or public authorities where reasonably necessary or legally required.
We do not sell your personal information.
6. International transfers
Some of our service providers may process or store personal information outside the United Kingdom.
Where this involves a restricted international transfer of personal information, we take appropriate steps to ensure that the transfer is made in accordance with applicable UK data protection law, including, where applicable, UK adequacy regulations or approved contractual safeguards.
7. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, taking into account our legal, accounting and administrative obligations.
Webinar registration information is retained for as long as reasonably necessary to administer the relevant webinar and any related follow-up, after which it is deleted or anonymised unless we have another lawful reason to retain it.
If you have separately subscribed to our newsletter, your newsletter subscription information is retained for as long as you remain subscribed.
If you unsubscribe from marketing communications, we may retain limited information necessary to record and respect your opt-out.
Telephone numbers provided solely for webinar reminders are retained only for as long as reasonably necessary for that purpose unless there is another lawful reason to retain them.
Technical and cookie-related information is retained according to the purpose and lifespan of the relevant technology.
We periodically review the personal information we retain and delete or anonymise information that is no longer required.
8. Your rights
Depending on the circumstances, UK data protection law may give you the right to:
- request access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase your personal information;
- ask us to restrict certain processing;
- object to certain processing;
- receive certain personal information in a portable format;
- withdraw your consent at any time where we rely on consent.
Not all rights apply in every circumstance.
You also have the right to object to the processing of your personal information for direct marketing purposes at any time.
To exercise your rights, contact us at oriona@me.com.
9. Complaints
If you have concerns about how we use your personal information, please contact us first at oriona@me.com so that we can try to resolve the issue.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's data protection regulator.
10. Security
We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, misuse, alteration or disclosure.
However, no internet-based service or method of electronic storage can guarantee absolute security.
